Even with thorough preparation, unexpected challenges can arise in international shipping.
Recently, I helped a client resolve a sudden customs clearance issue.
Quick Response to the Client's Urgent Request:
My client contacted me urgently after their shipment was held by customs. The main issue: customs required the correct HS(Harmonized System)Code for every item on the product list.
Verify HS Codes and Update Documents:
HS codes must be precise.
We carefully checked and assigned the correct code for each product based on its material and use.
Reviewed each item again and double checked with the accurate HS code.
Updated the packing list and commercial invoice, clearly marking the code next to each product.
Organized the full set of corrected documents and promptly sent them back to the client for submission.
Share Updates from the Carrier (UPS)
We received a notification from UPS regarding the clearance status and submission deadlines.
Immediately forwarded the notice and deadline to the client.
Confirmed with the client whether the required actions had been completed.
Coordinate with the Customs Broker:
The client shared their broker’s contact details and specific requirements.
Verified with the client what updated documents the broker needed.
Promptly prepared and provided the requested files.
Active Follow-Through to Keep Things Moving
Contacted the client within 24 hours to confirm submission.
Asked whether the client required further assistance.
Stayed on top of the process, working to help the client clear customs asap.
Followed up to ensure everything was moving forward smoothly.
Customs delays will be stressful, but you don't have to handle them alone.
